PPOS User Guide
Everything you need to get your store up and running with Pentapolis POS — the offline-first point-of-sale app built for small businesses.
01 First-Time Setup
Get started in under two minutes.
Choose Your Language
On first launch, PPOS asks you to select your preferred language. The app supports 33 languages including Arabic, English, French, Spanish, Hindi, Chinese, and many more. The entire interface — including right-to-left layouts — adjusts instantly.
Select Your Country
Pick your country from the list. PPOS will automatically set the correct currency symbol for your region.
Choose Your Device Role
- Device A (Primary): Full control — manage products, debtors, settings, and sales.
- Device B (Secondary): Sales and reporting only — ideal for a second checkout counter. Products and settings stay in sync from Device A.
Sign In with Google
Accept the Terms of Use and sign in with your Google account. This enables the optional product image backup to your personal Google Drive. Your data stays on your device — Google is only used for authentication and image storage.
💡 Tip: Setup is a one-time process. After that, the app opens directly to the Sales screen.
02 Managing Your Products
Build your product catalog with ease.
Navigate to the Products tab from the bottom bar. Here you can view, search, add, edit, and delete products.
Adding a Product
- Tap the + button to add a new product.
- Fill in the name, purchase price (your cost), and selling price (what the customer pays).
- Optionally assign a barcode — scan it directly using the built-in scanner, or type it manually.
- Pick a color for the product button that appears on the Sales screen.
- Snap a photo of the product (requires an internet connection for Google Drive backup).
Voice Input
Tap the microphone icon next to the product name field to dictate the name using your voice — great for fast data entry.
Searching & Filtering
Use the search bar at the top to find products by name. Voice search is supported here too.
💡 Tip: Long-press any product on the Sales grid to pin it to the top for quick access.
"Cash Sales" Quick Entry
The built-in Cash Sales item lets you ring up a quick, one-off sale without creating a product first — just set the price and go.
03 Processing Sales
Fast, intuitive checkout built for speed.
The Sales screen is your main workspace. The top half shows your product grid; the bottom half shows the active cart.
Adding Items to the Cart
- Tap a product button to add it. Tap again to increase the quantity.
- Use the Scan Barcode button at the top to switch to camera mode — point at a barcode to add the product instantly with an audio beep.
- If a scanned barcode doesn't match any product, PPOS offers to create a new product on the spot.
Managing the Cart
- Adjust quantities using the + and − buttons, or tap the quantity to type a specific number.
- Swipe or delete individual items as needed.
- The cart total updates in real time, including automatic tax if configured.
Multiple Carts
Swipe horizontally to switch between multiple open carts — perfect when you're serving more than one customer at a time. The first cart is always available; additional carts are removed after checkout.
Adjustments
Before completing a sale, you can apply:
- Discount — reduce the total.
- Addition — add extra charges (e.g., delivery fee).
- Debt Transfer — record partial or full amounts owed by a debtor.
POS Focus Mode
Long-press the cart title to enter Focus Mode — the toolbar and bottom bar slide away, giving you a full-screen checkout experience. Long-press again to exit.
Completing a Sale
Tap Checkout to finalize the sale. A confirmation sound plays, and you're offered the option to view the invoice immediately or continue with the next customer.
💡 Tip: Drag the divider handle between the product grid and the cart to resize each section to your preference. PPOS remembers your layout.
04 Invoices & Printing
Professional invoices, instantly.
After every sale, PPOS generates a detailed invoice with a unique reference number (e.g., A-000042).
What's on the Invoice
- Your store name, address, and contact info.
- Each item with quantity, unit price, and subtotal.
- Discounts, additions, and tax (if applicable).
- Customer name (optional).
- Grand total and sale date.
PDF Export
From the invoice screen, generate a PDF that you can save, email, or share via any app on your device.
Bluetooth Thermal Printing
Connect a Bluetooth thermal printer to print receipts directly. PPOS supports both 58 mm and 80 mm paper widths — select yours in Settings.
Editing an Invoice
Need to correct something? Open any past invoice from the Reports screen, tap Edit, and adjust items, quantities, or prices. The invoice recalculates automatically — including tax.
05 Reports & Insights
Know your numbers at a glance.
The Reports tab gives you a clear financial snapshot — no spreadsheets required.
Daily Report
See the revenue, cost, and profit for any given day, along with the total number of sales. Browse day-by-day using the arrow buttons.
Monthly Report
Switch to the Monthly tab for a month-level summary with a daily breakdown list — helpful for seeing trends and comparing performance.
Sales Details
Below the summary cards, every individual sale is listed. Tap any sale to open its full invoice, print it, or edit it.
06 Debt Management
Track who owes you — and follow up.
The Debts tab lets you manage customer credit and outstanding balances.
Adding a Debtor
Tap the + button to create a debtor profile with their name and phone number.
Recording Debts & Payments
- During checkout, choose Debt Transfer to assign part or all of a sale to a debtor.
- Record payments as the debtor pays back over time.
- Each debtor's balance updates automatically.
Account Statements
Tap a debtor to view their full account statement — a chronological list of every debt and payment with timestamps.
WhatsApp Reminders
Send a friendly payment reminder directly via WhatsApp with a single tap. PPOS formats the message with the debtor's name, amount owed, and your store name.
07 Multi-Device Sync
Two devices, one store.
PPOS supports a simple two-device setup (Device A + Device B) so you can run two checkout counters while keeping data in sync.
How Sync Works
- On one device, go to Settings → Share Database. This exports your database file.
- Send the file to your other device using any method — WhatsApp, Bluetooth, email, file manager, etc.
- Open the file on the receiving device. PPOS detects it and offers to sync the data automatically.
What Gets Synced
- Device A is the master — it owns all products, debtors, and settings. It only imports sales from Device B.
- Device B receives products, debtors, and sales from Device A, but keeps its own settings.
💡 Tip: Each device's invoices have a unique prefix (A- or B-) so they never conflict.
08 Settings & Customization
Make PPOS yours.
Open Settings from the ☰ hamburger menu in the top corner.
General
- Store Name — displayed on invoices and the toolbar.
- Currency — set the symbol shown across the app.
- Business Address & Contact — appear on printed invoices.
- Language & Country — change anytime.
Appearance
- Grid Columns — choose 3, 4, 5, or 6 columns for the product grid.
- Product Image Background — show product photos behind grid buttons for a visual catalog feel.
Tax
- Set your tax rate as a percentage (e.g., 15%). PPOS will automatically add a tax line to every cart.
- Enable "Hide tax if zero" to keep invoices clean when no tax applies.
Bluetooth Printer
- Select your paper size (58 mm or 80 mm).
- Pair and select your Bluetooth thermal printer.
- Send a test print to verify the connection.
Data Management
- Share Database — export your data for sync or safekeeping.
- Sync Database — import a database file from your other device.
- Backup — save a snapshot of your database.
- Restore — load a previously saved backup.
09 Security & Privacy
Your data, your device, your control.
Biometric / PIN Lock
PPOS uses your device's built-in authentication — fingerprint, face recognition, or PIN — to lock the app on launch and after 15 minutes of inactivity.
Offline-First Architecture
All your business data lives locally on your device. PPOS does not operate any cloud servers and does not collect, transmit, or store your data remotely. Internet access is only needed for Google Sign-In and optional product image backup.
No Tracking, No Ads
PPOS contains zero analytics, zero telemetry, and zero advertisements. We don't know who you are, what you sell, or how much you earn — and we like it that way.
